STAGE MANAGER
AS THE STAGE MANAGER, YOU WILL MANAGE ALL ASPECTS OF SCHEDULING, COORDINATION, REHEARSAL, AND PERFORMANCE FOR YOUR PRODUCTION

AND REPLY ALL WITH ANSWERS PROMPTLY BEFORE YOU LEAVE
During tech week and performances, by accepting this role you are confirming you have
NO absences during this time.
If you will be absent during any of those times, please do not accept the position for this show.
Once you have signed on to the show

Read the script (if you haven’t already) and discuss needs with Director.

Update the TIP Cast show page.

Access provided TIP email.

Schedule the first Production meeting
-
Review all Directing Team members Expectation documents so that as SM you are aware of everyone else’s roles and responsibilities.

Discuss ASM needs with Director and assist in securing up to two ASMS for your show.

Accept SharePoint access from TIP staff. SharePoint is the only file share product that can be used due to county IT restrictions.

Complete Volunteer with Stipend paperwork in a timely manner
Auditions/Call Backs

Assist the directing team as discussed prior to auditions.

Pick up scripts at auditions (if available)

Prepare call back and casting forms and send them to TIP staff by assigned time.

Coordinate call backs as discussed with directing team. Callbacks are run by your Directing Team.
Pre-Rehearsal

Rehearsal needs – Coordinate with Production Manger at least two weeks prior to first rehearsal.

Coordinate script pick up with your cast. Each cast member is required to sign a script acknowledgment form. When cast members return their script following the final performance, their script acknowledgement form should be returned! If scripts are lost or not returned, forms will be given to TTIP Admin Office and production manager will follow up with cast members to arrange payment or the return of the script.

Assist your team in staying on task by adhering to the due date document.

Keep your websites up to date. Cast communication should be funneled through the cast website. The website is used by many TIP staff, not just your cast/staff.

Assemble running crew members for your show
Rehearsals
-
Rehearsal Reports: Copy template into the body of the email and type in your notes. Send rehearsal reports to full production team immediately after rehearsal.

Maintain up to date attendance numbers for directing team and cast (document in SharePoint)

Program information – Send to Production Manager by the end of your first week of rehearsals.

Give a 5-minute break at the end of each hour for everyone in rehearsal.

Should an injury occur during rehearsals of performances, please fill out an incident report IMMEDIATELY! Include a notation of the injury in the evening’s rehearsal report and forward the official injury report form to the TIP Staff.

Verify questions in rehearsal reports are answered in a timely manner.
Tech
-
Attend all tech and dress rehearsals following the provided schedule.

OUTDOOR: Open and close gates and doors backstage. Coordinate lock up with the lighting team.
-
Turn on safety lights.
-
Work with directing team, TIP staff, and vendors to ensure all elements of production are in place and respectfully communicate concerns and changes in production meetings following tech rehearsals.

The SM leads the tech rehearsals following the provided schedule.
-
SM will be in the bunker (OUTDOOR) or booth (INDOOR) calling the lighting cues and other agreed upon cues.

See “Nightly Checklist” and “Cast Dressing Room Checklist” for evening responsibilities

Ensure that trash cans are properly emptied after each night’s rehearsal.

OUTDOOR: Trash must be taken to the dumpster outside of the gate. The one behind the dressing room is for construction only.

INDOOR: Trash can be taken to the dumpster behind the building. Whomever is taking the trash will need the badge for access.

Give a 5-minute break at the end of each hour for everyone in rehearsal

OUTDOOR - Send Production Manager a list of the cast who will sing the national anthem by Tuesday.
-
OUTDOOR - You may pick up a THEATRE MASTER KEY the week prior to your first tech rehearsal. Typically, the Friday before. NOTE: key office is located at Shawnee Mission Park Administration building and they are available M-F 9a-4p.

OUTDOOR - Instruments requiring set up in the pit (piano, drums, etc…) must be set 8p to be ready for the run through at 8:30p. Your team may require that they are set up earlier based on your rehearsal needs.
Performances
-
Coordinate pre-show performance needs with Production Manager.
-
OUTDOOR: Open and close gates and doors backstage. Coordinate lock up with the lighting team.

Turn on safety lights.

Call the lighting cues, and other cues as determined by the technical team, for the performances.

Confirm that trash is emptied every night (same as during tech).
-
Ensure that stage is swept and set before 7.30pm (OUTDOOR) 7p (INDOOR).
-
OUTDOOR - If the orchestra is visible to the audience, set large instruments (ie pianos and drums, etc.) before 8p.
-
No costumed actors front of house
-
If applicable - EXCEPT for those cast members signing posters or for official “Meet and Greet” following the performance. Production Manager/House Manager will coordinate the effort.

Strike

Collect scripts
-
Collect orchestra scores from the Conductor.
-
Assign ASMs or other run crew to remove spike take from on/off stage.
-
Assure that dressing rooms are CLEAN before you leave (it would be advantageous for ASM’s to assign duties ahead of time).
-
Verify that props and costumes have plans for clearing out their spaces before they leave after the final performance.
-
Assist with other strike duties as discussed as a team.
Post Show

Return items listed in the closing weekend email to the TIP office.

OUTDOOR - return your TM key to the Key Office
